Our client, Kudler Fine Foods is interested in integrating technology into its business operations. They have requested our services to provide them with a business brief detailing how computer systems might be more effectively integrated to meet their business needs and improve their accounting operations. The system provides two full power backup systems for the entire computer; one at the La Jolla location and the other serves both Del Mar and Encinitas locations.

The newly added Related Enterprise Management System (REMS), is an integrated system that consist of specific modules designed to meet the challenges of driving growth and increasing revenues. Most of the modules are part of the accounting and finance system. There is a Point of Sale Module (POS) to help streamline management duties and make the checkout process fast and easy for customers. The installation of this system has also increased data consistency and integrity. REMS, however, is not currently providing an end-to-end application to manage all the areas of business for Kudler. The REMS should be utilized to centralize all functions of the business. For example, purchasing is being processed manually by three different store managers at the three different store locations. Inventory management and forecasting are difficult for Kudler because these areas of operations are not directly integrated into the system. This may create weak inventory management which can lead to overstocked inventory or stock- outs. Customizing some aspects of this software may be needed to meet Kudler’s specific needs. Currently, general vendor performance evaluation on price, delivery and quality, receiving reports, outstanding purchase order reports, sale and forecasting reports are very time-consuming and difficult for Kudler to accurately generate.

There are some weaknesses that appear in the accounts payable regarding cash purchases that may be corrected by exploring some of the e-commerce capabilities of this system. The security module for the accounting department has a strong twenty-four seven back-up generator for unpredictable power outages, and it provides security features like passwords and dollar limits. However, there are no written formal policies regarding the security of the finance and accounting systems.

Kudler’s key strategic objectives for marketing and sales are to increase customer loyalty and attract new customers through social network marketing. Kudler is currently using direct mail, promotional literature, word of mouth, and local ads to solicit customers. There is currently no Customer Relationship Management Service (CRM) being used by Kudler. They currently have a website with contact, service and product information but they do not use social media like Facebook, Twitter, Instagram, Pinterest or other social tools to work for them.
